IP management software is the system of record for a patent and trademark portfolio. A mistake in it is not an inconvenience: a missed deadline can mean a lost right. That changes how you should buy it. Accuracy of deadlines, quality of country rules and safe data migration matter more than any dashboard.

3. Treat migration as the main risk

Most problems in an IP system change come from data migration, not from the new software. Plan for:

  1. A data-quality audit of the old system before you sign (duplicate families, missing priority data, free-text dates).
  2. A written mapping of every field and status code.
  3. Recalculation of all open deadlines in the new system and a comparison against the old one, with every difference explained.
  4. A parallel-run period where both systems are checked before the old one is switched off.
  5. Clear contractual responsibility for migration errors.

IP management pricing is almost always quote-based. Ask each vendor to price the same scope and break out: software subscription, implementation and migration, rules or data subscriptions, integrations, training, and services such as renewals or outsourced docketing. Renewal services often have separate service fees per payment plus currency conversion margins; ask for these in writing.
